AI for Etsy and small shop owners: replies and listings
Let AI draft customer replies, order fixes and product descriptions. You stay the one who presses Send.
If you run a small online shop, a lot of your day goes on the same messages. Where's my order. Can I change the size. Is this gift-wrapped. AI can draft those replies in seconds, and it can write a first pass at your product descriptions. The rule is the same as for any business: the AI drafts, you send.
Customer questions
Write a short shop facts sheet once: shipping times, where you ship, returns, care instructions, materials, gift options and how to contact you. Paste it into a Claude Project for your shop. Then, for each message, paste the customer's question in and ask: "Draft a friendly reply using only my shop facts. If the answer isn't in the facts, say [CHECK]."
Copy the draft into your shop's messages, read it and send it yourself. A copy-and-paste step is a good thing here. It means nothing reaches a customer that you haven't seen.
Order problems
Late parcels, wrong items and damage need more care, because money is involved. Give the AI the order details and what you're willing to do, then ask for a draft:
- Say what you'll do, in your own words first: "Replace it, no need to send it back."
- Ask for an apology that's short and specific, not grovelling.
- Check every number: order number, amount, dates. The AI should copy these from what you gave it, never guess.
- Never let it offer a refund or discount you didn't decide on. Put that rule in your project instructions.
Check your marketplace's own rules on refunds, returns and messaging too. Your reply has to fit them.
Product descriptions
Give the AI the real details: size, materials, colours, how it's made, who it's for. Ask for a title and a description in your shop's voice, and paste two of your best existing listings as examples. Then edit. Remove any claim you can't back up, such as "eco-friendly" or "hypoallergenic", unless you know it's true for that product. Customers and marketplaces both take these claims seriously.
What not to hand over
- Don't give an AI tool your shop login or let it reply to customers on its own.
- Paste only what's needed for the reply. A first name and order number are usually enough. See is AI safe for client data?
A daily routine
Once a day, gather new messages, draft replies in one sitting, then read and send them all. Keep your facts sheet up to date, and whenever you correct the same thing twice, add a rule. The guide on writing rules once shows how.
