Let AI draft every reply, never send one

The one rule that makes AI email safe: it writes, you send.

The fastest way to lose a client is an AI that sends something wrong in your name. The fastest way to get your mornings back is an AI that writes every reply for you. You can have the second without the first, with one rule: the AI drafts, you send.

Why drafts, not sends

A draft costs you ten seconds to read. A wrong email costs you a client, a refund or an apology thread. When the AI only ever saves drafts, every mistake it makes is caught by you before anyone sees it. That's what makes it safe to let it handle all of your email instead of the easy half.

Set it up

  1. Connect your inbox, then forbid sending. In Claude, turn on the Gmail connector. It can send email, but it asks for your approval first, so decline every time it asks. Then tell it plainly in your instructions: "Never send email. Save every reply as a draft in the original thread."
  2. Reply inside the thread. Ask for a reply to the existing message, not a new email, so the subject, history and everyone on copy stay together. Check where the draft landed: if it shows up as a separate email, copy the text into a normal Reply in Gmail instead.
  3. Make it read the whole thread first. Most bad AI replies come from reading only the last message. Instruct it to read every message in the thread, including your own earlier replies, before writing.
  4. Give it your sign-off and length. "Open with Hi first name, keep it to three short paragraphs, sign off with Regards and my first name." Short, specific rules beat a long style essay.

Your daily routine

Ask once a day: "Find emails from customers or prospects that I haven't answered and draft a reply to each." Then open your Drafts folder, read each one, fix what needs fixing and press Send. Most days that's 15 minutes for an inbox that used to take two hours.
