Turn every customer into a project file AI can read
One short file per customer means the AI never forgets a promise or a price.
The AI starts every conversation knowing nothing about your customers. Unless you give it a place to look, it will re-ask questions, forget what you promised and quote the wrong price. The fix is one short file per customer.
What goes in the file
- Who they are: company, contact names, what they bought, when.
- Money: current price, any discount and why, open invoices.
- Promises: anything you said you'd do, with the date you said it.
- Open questions: what they're waiting on from you.
- Last touch: date and one line on the most recent exchange.
Half a page is plenty. It's a briefing, not a history.
Keep it current automatically
Add one rule to your setup: "After every customer email you draft, update that customer's file with anything new: promises, prices, open questions." Then check the file once in a while like you'd check an assistant's notes.
Where to keep them
A folder of plain text or Markdown files works with almost any AI tool. In Claude, add them to your business Project's knowledge. In Claude Code, keep them in a folder it can read.
