AI for yoga, fitness and wellness pros: reminders, renewals and intake, drafted for you
Let Claude draft class reminders, package renewals and intake follow-ups while you keep health details private and never let it give health advice.
Your clients come to you to feel better. Then the admin follows you home: reminders, renewals, intake forms, questions about schedules. Claude can draft these messages. The rule: the AI drafts, you send. Two more rules for your work: it never gives medical advice, and health details stay out of the chat.
The admin that eats your week
- Class and session reminders. Times, location or link, what to bring.
- Package renewals. Telling clients their sessions are running out and how to book more.
- Intake follow-ups. Sending forms to new clients and reminding them to complete them.
- Schedule questions. Changes, cancellations, holiday timetables and waitlists.
- Rebooking past clients. A friendly note to people who haven't been in for a while.
What AI can draft for you
- Reminders: it drafts a short reminder from your class details. You check the time and send.
- Renewals: you give it the client's first name and sessions left. It drafts a note about booking the next package. You check the details and send.
- Intake: it drafts the email that sends your form and a gentle reminder. The client fills in the form directly with you. Claude never sees their answers.
- Schedule questions: it answers from your written timetable and policies. You read each reply first.
- Rebooking: it drafts a light, no-pressure note. You choose who gets one.
Copy these prompts
Draft a short reminder for tomorrow's class using these details: time, place or link, and what to bring. Keep it friendly and under 80 words. Save it as a draft. Do not send.
[First name] has two sessions left in their package. Draft a short note letting them know and explaining how to book the next package, using my package details. Do not mention anything about their health.
Using my policies, draft a reply to this client's question. If they ask about pain, injury, medication or any health condition, do not give advice. Instead, write a kind line suggesting they check with their doctor, and mark it [CHECK] for me.
An example week
Here's an example of how a week could look. On Sunday evening Claude drafts reminders for the week's classes, and you send them after a quick read. On Tuesday you ask for renewal notes for clients near the end of a package and send the ones that are right. When a new client signs up, it drafts the email with your intake form link and you send it. On Friday it drafts a few rebooking notes for clients you haven't seen in a while.
Where the course helps most
- Day 2, Write the instructions your assistant reads every time. Where "never give health advice" goes, once.
- Day 16, Set a reminder schedule and draft your first reminders. A steady rhythm for payment and package reminders.
- Day 18, Renewals and rebooking past clients. Drafts for packages and lapsed clients.
- Day 28, Privacy and safety basics. What never goes into a chat, and how to check your settings.
Free guide to start with: is AI safe for client data?
Stay safe
- Health information is sensitive. Don't paste intake answers, injuries or conditions into a chat. Describe the situation instead: "a client needs to pause for a few weeks".
- No medical advice. Put it in your instructions, and refer health questions to the client's doctor yourself.
- Check your own obligations, insurance and any professional body rules on client records. This isn't legal advice.
