For virtual assistants

AI for virtual assistants: drafts for every client, mix-ups for none

How virtual assistants can use Claude to draft replies, scheduling emails and follow-ups across several clients, with each client's rules kept separate and nothing sent without a human read.

When you manage several clients, the work isn't hard. It's the switching. Each client has their own tone, their own sign-off and their own rules about what you may say. Claude can draft for all of them, as long as two rules hold. The AI drafts, you send. And each client's rules live in their own place.

The admin that eats your week

  1. Inbox triage. Sorting what's urgent, what can wait and what needs your client's answer.
  2. Routine replies. Answering the same questions in each client's voice.
  3. Scheduling emails. Offering times, confirming and rescheduling.
  4. Follow-ups for your clients. Chasing their leads, their invoices and their unsigned forms.
  5. Your own end-of-week reports. What you handled for each client, and what's waiting on them.

What AI can draft for you

Copy these prompts

You are drafting for [client name] only. Follow the rules in this project's instructions and nothing else. Find emails from the last two days that need a reply, list them with a one-line summary each, and draft a reply for the ones marked routine in my rules. Save every reply as a draft in its thread. Never send, reply or forward.
Draft a reply to this scheduling request for [client name]. Offer these three times exactly as I list them: [times]. Use the client's sign-off from the instructions. Do not suggest any other times and do not create or change calendar events.
Here are my notes on what I handled for [client name] this week. Draft a short end-of-week report with three sections: Done, Waiting on you, and Coming up. Keep it under 150 words and use only what is in my notes.

An example week

Here's an example of how a week could look. This is a hypothetical, not a result anyone reported.

Each morning you open the Project for your first client, ask for the triage list and the routine drafts, then read and send. You close that Project before opening the next client's, so nothing carries over. Midweek you draft follow-ups for one client's unpaid invoices from a list she gave you. On Friday you draft each client's report and send it after a final read.

Where the course helps most

Free guides to start with: write rules once so Claude remembers your voice and let AI draft every reply, never send one.
