AI for small online shops: order emails, returns and product copy, drafted for you
Let Claude draft order replies, return emails, supplier messages and product descriptions while you make every refund decision and send everything yourself.
Running a small online shop on your own means you're also customer service, returns desk and purchasing. Most of that is writing the same kinds of email again and again. Claude can draft them. The rule: the AI drafts, you send. Refunds and money decisions stay with you.
The admin that eats your week
- Order questions. Where's my order, can I change my address, did you get my payment.
- Returns and exchanges. Explaining your policy and the next steps.
- Supplier emails. Reorders, delays, price checks and missing stock.
- Product descriptions. Copy for new products and refreshes for old ones.
- Complaints. Damaged items and unhappy customers who need a careful reply.
What AI can draft for you
- Order questions: you give it the order details. It drafts the reply. You check the order number and dates, then send.
- Returns: it explains your returns policy in plain words. You decide whether to approve, and you process any refund yourself in your shop admin.
- Supplier emails: it drafts clear reorder or follow-up emails from your notes. You confirm quantities and prices before sending.
- Product copy: it writes from your real product details. You remove anything you can't back up and publish it yourself.
- Complaints: you decide the fix. It writes a short, calm reply around it. You send it.
Copy these prompts
Read this whole email thread with the customer. Using my returns policy, draft a reply explaining what happens next. Do not promise a refund, discount or replacement. If the request falls outside my policy, write [MY DECISION] where I need to choose. Save it as a draft. Do not send.
Draft an email to my supplier asking to reorder the items below and asking for a confirmed delivery date. List each item and quantity exactly as I wrote them. Keep it short and polite.
Write a product description from these details: what it is, size, materials, care and who it's for. Use the tone of my two example descriptions below. Do not add claims about safety, health or the environment unless they appear in my details.
An example week
Here's an example of how a week could look. Each morning Claude drafts replies to new customer emails in your Gmail drafts, and you read and send them over coffee. Return requests get a draft too, but you check each order and process any refund yourself. On Wednesday it drafts your supplier reorder from your stock notes. On Friday you add two new products, edit the descriptions it wrote and publish them.
Where the course helps most
- Day 9, Read the whole thread: replies that answer everything. No more answering only the last question.
- Day 10, Your daily inbox routine. One sitting a day for every customer email.
- Day 12, The hard emails: complaints, refunds and saying no. Firm, kind replies to returns and complaints.
- Day 26, Chain everything into one morning run. Drafts waiting for you when you open your inbox.
Free guides to start with: let AI draft every reply, never send one and AI for Etsy and small shop owners.
Stay safe
- No AI-issued refunds. Put "never promise or issue a refund, discount or replacement" in your instructions, and process every refund yourself.
- Never give an AI tool your shop admin login or payment details.
- Treat any email asking you to change supplier bank details as suspicious. Have Claude flag it, and confirm with the supplier another way.
